Uploading documents

How to add PDFs, DOCX files, and images to your compliance vault.

HakikiComply accepts PDFs, Microsoft Word documents (DOCX), and common image formats such as PNG and JPG. For best results, use clearly scanned PDFs or high-resolution images with readable text.
Open the Upload & Analyze page from the sidebar, then drag your file onto the drop zone or click to browse. Each file is stored in your private vault and processed only for your account.
After upload, the AI pre-fills document type, counterparty name, start and expiration dates, key liabilities, and missing clauses. Review every field, edit as needed, and tap Save to store the document.
Most documents up to 50 MB are supported. Very long files may take slightly longer to analyze. If extraction looks incomplete, try uploading a higher-resolution version or re-analyzing the file.

Document statuses

Understand active, expiring soon, and expired badges at a glance.

Status is derived from the expiration date stored on each document. Active means the document is still valid, expiring soon means it expires within 30 days, and expired means the date has passed.
Documents with an expiration date more than 30 days in the future show a green active badge. These require no immediate action and are considered compliant.
An amber expiring soon badge appears when a document expires within 30 days. This is your cue to request a renewal, certificate, or signed replacement before coverage lapses.
A red expired badge means the expiration date has passed. Replace or renew the document as soon as possible, then update the expiration date or upload the new version.

Automation reminders

Configure email alerts so nothing slips through the cracks.

By default, HakikiComply can send renewal reminders at 60, 30, and 7 days before a document expires. Open Automations to turn each reminder interval on or off independently.
Use the template editor to set your own subject and body. Insert placeholders like {{Client_Name}}, {{Doc_Type}}, and {{Expiry_Date}} to personalize every reminder automatically.
Reminder emails are sent to the client or vendor email stored on each document. You can override the recipient per document or keep the default contact address.
The automation log records every queued and sent reminder. Use it to confirm messages went out, verify timing, and troubleshoot delivery issues.
